Job Description Summary:
Primary responsibility is branch support with coverage of critical areas, suchas telephone, front desk, fax coverage and other administrative functions within the branch. This
position will also fax on all Medicare, Medicaid and Exchange detailed written orders, Statements of
Medical Necessity (CMN/SMN), TPN Care Plans, Home Health Orders and 485’s to physicians for signature.
This role will follow up on all paperwork needed, as well as other company tracked document until
they are returned. They will work closely with the Audit & Compliance Manager and provide support
when needed.
Job Description:
1. BRANCH - SUPPORT ASSISTANT (Weight - 30%)

Incoming Fax Management (Fax Runner)
- Receives and reviews all incoming faxes that require to be properly handled and placed in the designated location.
- Assign all patient related documents per the fax instructions.
- Assists Branch with communications and support activities as directed.
- Assists with covering Fax Schedule when staff is out on PTO.
- Works closely with all areas to develop a smooth and cohesive working relationship to enhance and improve patient services.
- Reports Branch or Department changes and problems as identified.
- Works with all staff as a resource.
- Assists with answering the telephone calls for branch.
- Assists with office visitors or patients coming to front desk.
- Assists Reimbursement with administrative related functions.
2. COMPLIANCE PAPERWORK MANAGEMENT (Weight 60%)
- Monitor dispense report and Order folders (including 485’s) to ensure all documents were sent and tracked appropriately.
- Ensure that all tracked documents are resent and followed up timely.
- Notify intake responsible if MD needs to be changed with pharmacy and order resent for signature.
- Follow all orders until returned, then notify Billing Supervisor once received.
- Work with Audit & Compliance Manager on metrics.
- Work closely with other departments when needed for questions or corrections to tracked documents to ensure that all documents being sent for signature are accurate.
- Always document calls, changes, and follow up measures in CPR+.
- Track and monitor all needed company documents to ensure compliance and ability to bill timely.
- Work closely with Branch Dietitian to ensure MD Care Plans are reviewed and sent to MD routinely.
- Work with Audit & Compliance Manager to ensure that any missing documents requiring MD signature are sent and followed up timely for audit submission.
3. REIMBURSEMENT TEAM MEMBER/COMPLIANCE: (Weight: 5%)
- Serve as a backup when Audit & Compliance Manager is out on PTO for audit identification. Follows established procedures while manager is out, work closely with Reimbursement Director for immediate audit needs.
- Be ready to assist with audits when needed; in the event a large number of audits are received at one time with a short deadline.
- Maintain a high standard of accuracy and professionalism in all aspects of patient reimbursement.
- Compliant with all Policies and Procedures including, personnel, operating in-services and the Company’s Corporate Compliance Plan.
- Effectively works with other team members, and participate in reimbursement meetings.
4. ALL OTHER DUTIES ASSIGNED (Weight: 5%)
PHYSICAL DEMANDS:
- Stand or Sit - Must be able to remain in a stationary position 50% of the time.
- Walk - Occasionally move about the office to access file cabinets, office machinery, etc.
- Use hands/fingers to handle or feel – Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
- Talk/hear - Must be able to exchange accurate information.
REQUIREMENTS:
- Excellent decision making & communication skills

- Excellent organization & time management skills
- Knowledge of computer entry and calculator use

- Meets ADA requirement for position
Due to state pay transparency laws, the full range for the position is below:
Salary to be determined by the applicant's education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.
Pay Range is $19.02-$31.70Benefits:
